One record for every child's team

Journify gives a children's clinic one record per child, shared by SLT, OT, physio, psychology and play or arts therapy. Each note is visible to the right people, EHCP reports are written jointly and signed section by section, and one child can have several funders at once.

Each clinician keeps their own registration: the HCPC for SLTs, OTs, physios, psychologists and arts therapists, and accredited registers (such as PTUK and BAPT for play therapists) for professions without a statutory register.

What it does for children's therapy clinics

One intake form, filled in once

Parents shouldn't have to tell the developmental history four times. The shared intake goes out through the portal once, and each discipline's assessment pulls in the parts it needs. Shared notes are open to the whole care team, session notes stay within the discipline, and process notes stay with their author and supervisor.

  • A care team list with lead, contributing and consulting roles
  • Joint session notes with a signed section for each practitioner
  • Shared goals that the SLT and the OT can both rate

One EHCNA report, many authors

The report owner sets up the integrated report, gives each section to a practitioner with a due date and chases from the same screen. Nobody can edit another clinician's signed content, and the report can't be issued until every section is signed. The PDF shows each author's profession and registration number.

  • EHCP deadlines on the clinic dashboard
  • Section F provision held for each discipline, in hours and frequency
  • Delivered against specified hours each term, ready for the annual review

When the LA, school and parents all pay

It's common for the local authority to fund SLT under a purchase order while the parents pay for OT and the school buys a time bank for classroom strategies. In Journify each appointment is funded by one contract, picked at booking. Invoice runs then produce one invoice per client for each payer, and packages with sessions still to book get flagged as under-booked.

  • Purchase orders with hours caps
  • School time banks that count down as you deliver
  • VAT set by each practitioner's registration, not the clinic's

Switched on when you choose children's multidisciplinary clinics

Pick your profession when you join and these are ready from your first sign in. Everything can be edited.

  • A shared developmental history that parents fill in through the portal
  • Referral triage, MDT meeting minutes with actions for named practitioners, and an integrated goal plan
  • The integrated report builder, with signed sections and an EHCP provision statement for the LA
  • Autism and ADHD assessment workflows in steps, with ADOS-2 and rating scales as score tables
  • Discipline permissions, so notes can be shared, discipline only or restricted
  • A dashboard showing open safeguarding concerns, EHCP deadlines, provision delivered this term, the waiting list by discipline and staff DBS and registration expiries
  • Parent workshops with registration and feedback
  • The pack for each discipline you run: SLT, OT, physio, psychology and counselling at launch, with play, arts therapies, dietetics and educational psychology following

Measures and assessments

  • Everything in the discipline packs you install, such as the SLT and OT test score tables and COPM
  • Built in: Goal Attainment Scaling and Goals Based Outcomes, with goals shared across disciplines
  • ADOS-2 and ADHD rating scales as score tables. You use your own licensed copies
  • Standardised tests as score entry only (raw, standard and scaled scores, percentiles and confidence intervals). Journify never stores the test questions

Who pays, and how it's billed

Parents, schools and local authorities pay, often all for the same child, with solicitors and case managers on medico-legal work. VAT follows each practitioner: treatment by HCPC-registered SLTs, OTs, physios, psychologists and arts therapists is exempt, while play therapy and counselling aren't on a statutory register, so they're standard-rated if the clinic is VAT-registered.

Questions from children's therapy clinics

Can the play therapist's process notes stay private?

Yes. Process notes are restricted to the author and their named supervisor. The SLT can read the shared developmental history and the OT's assessment summary, but not the play therapist's process notes.

Do we need to register with the CQC?

It depends on what you offer, particularly if you diagnose autism or ADHD. Journify doesn't decide that for you: setup asks the question and points you to the CQC's own guidance.

Which plan does a clinic need?

Most clinics will want Practice: up to 25 practitioners and 3 locations, cheaper seats for part-timers, and groups, rooms and custom roles. Clinic adds unlimited locations, single sign-on and audit log export. Both are priced per practitioner, with prices TBC, and admin staff are free on both.

What if one of our therapists works in two disciplines?

Profession belongs to the practitioner, not the clinic, so they can hold both, each linked to its own registration. Templates and measures for both disciplines show first when they open a new note.
