Play therapy notes, kept private

Journify keeps your process notes private, gives schools the termly review they're paying for without the session content, and keeps count of sessions, endings and supervision hours.

Not statutorily regulated. PTUK and BAPT both run registers accredited by the Professional Standards Authority.

The play therapy pack follows within six months of launch; until then you can start on the nearest launch pack plus the General pack, switch on restricted notes, therapy contracts, school funding and time banks yourself, and we'll move you onto the play therapy pack when it ships.

What it does for play therapists

What the school will and won't hear

Schools fund a lot of play therapy, and they fairly want to know it's helping. The therapy contract builder has a school version that sets out what the school will and won't be told, agreed before you start. Process notes are restricted to you and your supervisor, and the termly review shares themes, never what happened in the room.

  • A school contract agreed before the first session
  • Restricted process notes that only you and your supervisor can open
  • End of intervention reports built on outcomes and themes

Sand tray photos kept in the record

Take sand tray photos with Journify's own camera, so they never end up in your phone's camera roll, and note the themes alongside. Each image needs consent, belongs to the child's record and follows the same retention rules. The session note uses play themes (sand tray, puppets, small world, role play, creative) instead of art therapy wording you'd have to write around.

  • Consent to photograph recorded first
  • An artwork log: kept, returned or destroyed at the ending
  • Minimal notes by default, with an optional-notes mode if your work allows it

Measures at the start and the end

PTUK's accreditation report describes a core measure taken at the start of an intervention and repeated at the end. Journify gives you SDQ score entry with parent and teacher respondents and Goals Based Outcomes built in. A session count and ending planner make sure the last session doesn't sneak up on anyone.

  • SDQ scores from parents and teachers, side by side
  • Session count and ending planner
  • A supervision log with a running hours total

Switched on when you choose play therapy

Pick your profession when you join and these are ready from your first sign in. Everything can be edited.

  • A play therapy session note with play themes, and a sand tray record with photos
  • Restricted process notes, visible only to you and your named supervisor
  • The therapy contract builder, including a school version
  • A referral form with consent fields for looked-after children
  • Termly review, ending and school end of intervention report templates that share themes, not content
  • School and local authority funding with purchase orders, and school time banks
  • Session count tracking with an ending planner
  • A supervision log with an hours counter, and VAT set to not registered to start with

Measures and assessments

  • Built in: Goals Based Outcomes and Goal Attainment Scaling
  • SDQ and Boxall Profile as score entry under your own licence, with parent and teacher respondents
  • YP-CORE, CORE-10 and the Leuven wellbeing and involvement scales, switched on once we hold the rights holders' permission

Who pays, and how it's billed

Schools (termly invoices, purchase orders and time banks), local authorities, parents and charities pay for most play therapy. Play therapy isn't on a statutory register, so it can't be VAT exempt: if you're VAT-registered your sessions are standard-rated, and Journify starts you as not VAT-registered and shows you the effect on an invoice if you tick that you are.

Questions from play therapists

Can I sign up before the play therapy pack is ready?

Yes. From launch you can start on the nearest launch pack plus the General pack and switch on restricted notes, the therapy contract builder, school funding and time banks yourself. When the play therapy pack ships we add its templates, and nothing you've changed gets overwritten.

Who else can read my process notes?

Only you and your named supervisor. Anyone else would need to use an emergency access step, which is recorded. Colleagues in a mixed clinic can't open them either.

Do I have to keep full notes?

No. The default is minimal notes, because school and LA funders usually expect some record. If your work allows it, there's an optional-notes mode as well.

Can it track my supervision hours?

Yes. Each entry records the date, supervisor, length, individual or group, and the cases discussed (pseudonymised by default), with a running total. You set your own target, so it fits whatever your register and level ask of you.
