Practice software for counsellors

Journify handles the diary, contracts, notes, EAP sessions and invoicing for counsellors and psychotherapists in private practice. Weekly bookings at the same time are the default, you decide how much you write after each session, and your diary and invoices are discreet from the start.

There's no statutory regulator for counselling. BACP, UKCP and NCPS each run a register accredited by the Professional Standards Authority, and your membership and registration number sit on your profile.

What it does for counsellors and psychotherapists

Notes your way, or none at all

BACP recommends keeping notes but doesn't require them or set a format, and expects clients to hear before therapy starts if you keep notes, and for how long. In Journify you set a notes policy: full notes, minimal notes, or attendance only. Pick attendance only and the overdue-note reminder never fires, and whichever policy you choose drops straight into your therapy contract.

  • Minimal, DAP, BIRP and free text templates
  • Asks for your reason if you keep no notes, in case of a complaint
  • Process notes restricted to you and your supervisor

EAP sessions without the tally chart

EAPs fund a fixed number of sessions and want a closure form at the end. Every episode of care has a session counter on the appointment card, like 'Session 5 of 8 (EAP authorised)', and late cancellations only count if your contract says they do. Two sessions before the limit you get a nudge to plan the ending, and for EAP clients the closure form is drafted for you.

  • Works for open-ended and contracted work too
  • Offers to book the ending session
  • EAPs invoiced per session or monthly

A discreet diary and discreet post

Privacy calendar mode shows clients as initials in the diary, on the dashboard and in Google or Microsoft calendar sync, with no service name. Invoices go out with plain descriptions such as 'Professional services, 3 sessions, October 2026', so whoever opens the post doesn't learn what the sessions were for.

  • Initials only in synced calendars
  • Couples work gets a joint note plus a restricted note for each partner
  • Online sessions record where the client is, in case of an emergency

Switched on when you choose counselling and psychotherapy

Pick your profession when you join and these are ready from your first sign in. Everything can be edited.

  • Weekly recurring bookings by default: same time, until ended
  • A notes policy of full notes, minimal notes or attendance only
  • Restricted process notes
  • Therapy contract builder, with a young person's version that includes a Gillick assessment
  • Risk formulation and safety plan
  • Sessional measures sent through the portal before each session
  • Session counter and ending planner, with EAP billing and cash-plan receipts
  • Privacy calendar mode, a supervision log with accreditation hours counter and a clinical executor role

Measures and assessments

  • PHQ-9, GAD-7, WSAS and GBO: built in, with questions and scoring
  • CORE-10, CORE-OM and YP-CORE: built in once CORE System Trust gives permission, with score entry until then
  • ORS and SRS, WEMWBS and SDQ: score entry only, using your own licence

Who pays, and how it's billed

Most clients pay per session or for a block in advance, with EAPs, some insurers and charities funding the rest. Counsellors and psychotherapists aren't on a statutory register, so sessions are standard-rated if you're VAT-registered; Journify assumes you're not, and warns a group practice as it nears the £90,000 threshold.

Questions from counsellors and psychotherapists

I don't keep notes. Will Journify keep nagging me?

No. Set your policy to attendance only and you complete each appointment by marking attendance, with no overdue-note alert. Journify asks once for your reason and keeps it on file, because BACP says a member who keeps no notes may have to explain why if there's a complaint.

What happens to my clients if I'm suddenly ill or die?

You can name a clinical executor: a colleague with a dormant role that only switches on with two approvals and is logged. They see contact details and appointment lists so they can let clients know, never your notes. BACP suggests planning for this in a clinical will.

Can I use CORE-10 and CORE-OM?

CORE measures need written permission from CORE System Trust for use in commercial software, and we'll build them in once we have it. Until then you can record CORE scores as score entry. PHQ-9, GAD-7, WSAS and GBO are built in.

Do I have to charge VAT?

Only if you're VAT-registered. If you are, counselling is standard-rated because there's no statutory register, and the setup wizard shows you what that does to a sample invoice before you confirm.
